The Task Tracker Solution

Task Tracker can help facility housekeeping managers improve efficiency and staff performance while reducing overall costs. Task Tracker is used by management staff only, so cleaning staff do not need to be trained in software applications. Managers create work orders for staff, which are returned to management for closing. The administrative time commitment to this process is minimal, even in facilities with several hundred cleaners.

With Task Tracker, it is possible to:

  • Put management in control..
  • Reduce complaints by 75%.
  • Improve morale of everyone with improved efficiency, fewer complaints and a cleaner staff.
  • Reduce management staff considerably and have a cleaner facility.
  • Reduce cleaning staff up to 30% and possibly more and have a cleaner facility.

There are three principles to the Task Tracker solution:

  • Keep the facility clean. Facilities get dirty because cleaning tasks are either not done to the appropriate standard, or because the task was not done at all. Tasks that are neglected are not daily tasks, but rather period tasks - those done weekly, monthly, every eight weeks, annually and so on. Improved scheduling and communication is the key to reducing or eliminating this problem.
  • Increase efficiency. By regulating tasks, it is possible to increase efficiency. For example, a facility might have a policy that meeting rooms are to be vacuumed once each week. In actual fact, a period of ten days or two weeks might be optimal for less frequently used rooms, while rooms constantly in use might require vacuuming twice a week or every other day. With the right tools to focus on task management, housekeeping planners are able to assign labor where it is needed. Extending a task period from seven days to ten days is a 30 % increase in task efficiency for that task and location. The Task Tracker database gives managers improved communication and feedback, allowing management to track quality and make whatever changes are necessary to meet facility standards.
  • Staff Morale. Inefficiency and lack of organization can result in a decrease in morale, leading to poor work performance and high turnover. With Task Tracker, staff will be able to address genuine cleaning needs without duplicating work already completed. Cleaning staff in facilities where Task Tracker has been implemented have reported increased organization and improved work performance.
